As prescribed by the AFT ruling 2022-01 Electronic Storage of Form 4473, “Whenever a transaction is stopped, put into a pending status, or completed, the Form 4473 must immediately be downloaded and saved to a computer hard drive, server, Universal Serial Bus (USB) Flash Drive, or other similar electronic storage device located at the licensed premises.” Bravo handles this seamlessly for you.
Some operators may opt to back up those on-premises copies too. If you choose this option, Bravo recommends the following:
- Recommended Device: RAID NAS stored in a secure location.
- NAS Size: Any size NAS should accommodate your needs. You can expect 130k-300kB per E4473 transaction. 1 GB would handle ~700 forms.
- Recommended Set up: Export to a global workstation. Map a drive to the NAS, then sign into each store daily to grab the latest A&D logs and 4473 Forms.
Question) What happens if the PC that stores the on-premises copies goes down for a day or two?
Answer) Bravo tracks which E4473’s was pushed to storage on your PC, so if the PC is down, they will be “flagged” by Bravo when it is back up and pushed to your local PC for local storage. From there you would back up to the NAS if applicable.
