Cancel Layaway (Refund with Gift Card)
Learn how to cancel a layaway and refund the customer with a gift card in Bravo.
This article will walk you through the process of cancelling a layaway and refunding the customer with a gift card. The article shows this process with no restocking fee, and also how to also assess a restocking fee for a canceled layaway. Click on the links to learn more:
Cancelling A Layaway - No Restock
First, start by pulling the layaway into the transaction screen.
There are several ways to pull up a layaway in Bravo. You can enter the layaway number or start with the customer and pull up the layaway in the transaction screen.
Select Layaway Cancel. This will open the layaway detail screen.
The detail window shows the layaway amount and the credit due. The credit will be equal to the down payment plus any other layaway payments already made.

Enter any notes that you want to see on the receipt then click OK.
The Transaction screen shows the line Layaway Cancel along with the layaway number, the original terms, and the amount. On this screen, the Amount and the Subtotal are negative numbers. This equals the credit back to the customer. Click Next.
On the Tender Screen you will get a pop up window Refund Payment Methods Detail. Here you will confirm how the credit is being paid back to the customer.
Select Convert to Gift Card.

The Tender Screen will now show Gift Cards as a sale item, and New Store Credits as the refund item. The Total amount should be $0.00. Click Save.

Cancelling a layaway and paying the credit will often require a manager approval. The manager on duty should enter their approval. This security can be given to any employee in the store.
Bravo will print a gift card label and receipt:


Gift cards are like cash, and the customer should treat it as such.
Cancelling a Layaway - With Restocking Fee
To cancel a layaway in Bravo with a restocking fee added, first you need to have a custom restock fee set up. To learn how to configure a custom fee, read the article here . (Link opens in new window)
When the Restocking Fee amount or percentage is set it will affect any new layaways that are written. If there was a prior setting on the Restocking Fee, any layaways written prior will still use the old Restocking Fee setting.
Once you have your fee set up, you are able to add it to any cancelled layaway transaction.
Start by pulling up your layaway:

Click the Layaway Cancel button to the right of the screen.

This screen shows that the customer is due the amount that they have paid into the layaway. Add any notes you need to for the receipt and click OK.
Next in the Transaction window, select Merchandise Services Fees from the right.

You will now see the Merchandise, Services and Fees Detail pop-up window:
Click on the radio button for Services and Fees.
From the drop down menu, select your restocking fee. (When you configure this fee, you will want to give it a name that makes it easily recognizable, such as Layaway Restock Fee.)
Enter the amount of the fee the default value on the fee can be changed to any value that suits the needs of the transaction.
Enter any notes that need to appear on the receipt in association with this fee.
Click OK.

The Transaction screen now shows a new line in the transaction representing the Restock Fee.
Click Next.

The Tender Screen will show Fees in the amount of the restocking charge and New Store Credits in the amount of the layaway transaction. The Refund Amount on the Refund Payment Method Detail window represents the amount owed back to the customer after the restocking fee is assessed.
Click Convert to Gift Card.

The Tender Screen now has three lines on the transaction.
- Gift Cards - This is the amount refunded to the customer.
- Fees - This is the restocking fee assessed to the customer
- New Store Credits - This is equal to the total amount that had been paid on the cancelled layaway.
Click Save.
Bravo will print a gift card label as well as a receipt.
