You will learn how to write off firearms in Bravo, including selecting items, choosing a reason code, and updating inventory records for compliance.

How to Write-off a Firearm

From time to time, we find ourselves needing to write off items for various reasons. This becomes trickier when you are dealing with something as heavily regulated as firearms. If you have a situation that requires you to write off a firearm, how you do it in Bravo will affect how the firearm is shown in your ATF A&D Logbook. Click on the links below to learn more.

 

Police Confiscations

One of the most common reasons to write off a firearm involves Police Confiscations. There are two ways in Bravo to write off an item for this reason.

Start at the Dashboard and select Inventory.

 

Enter the number of the firearm that you would need to confiscate.

 

Right click and select Confiscate Item. Or click Confiscate Item on the right hand menu.

 

You will see a Confiscate Item window. Enter the Officer's Name, Badge and Case info.

 

Click OK.

The item will now show status of Police. Click Save on the bottom left to keep the changes.

 

The ATF A&D Book will correctly show Confiscation.

 

If you do NOT have the option to Confiscate an item you can still correctly mark the item by using the Write-off feature.

Right click on the item, and this time select Write off Item. Alternatively you can click Write off Item from the right hand menu.

 

**NOTE** Writing off an item cannot be undone.  Once an item is written off it will no longer be any part of your store's inventory.  If you mark an item written off and then find this was done prematurely or in error, you will need to purchase the item back into your inventory

From the Shrink Item Window - select Police Confiscated from the Reason field.

You will need to enter the Officer'sName, BadgeNumber and Case Number.  Click Ok.

 

The status will show Police. Make sure to hit Save on the bottom left to retain these changes.

 

The ATF A&D Book will correctly show Confiscation.

 

Using Lost and Damaged

If you are used to using the Lost or Damaged function in Bravo, there are several things that you need to know about how it functions with firearms.

From the Inventory screen, enter the firearm.  Right click and select Lost or Damaged. Alternatively you can click Lost or Damaged on the right hand menu.

 

This brings you to the Lost or Damaged Items screen. Fill out the Cause/Reason and then hit Save on the top right.

 

An exception will pop that you will need to approve. This exception comes up whether you have the securities to perform the action or not.

 

No matter what cause/reason you select, your item will NOT update in the ATF A&D book until the event is resolved.

 

The log still shows that the item is in your store's possession.  To correctly update the gun log, you must write off the item completely.  Leaving it in the Lost/Damaged status will not update the log. Looking the item up again will take you to the Lost/Damaged event that was created. In here you can Write off Item, Confiscate, or mark the event as having a Resolution.

Marking the item with a Resolution will put the item back into the last status/disposition it had.

 

 

 

Stolen Merchandise - Write Off

If an item is stolen, you will need to update the gun log with this information including the incident number.  The ONLY way to add the incident number to the ATF A&D book is by writing the item off marked as External Theft <or> Internal Theft.

Enter the item number in the Inventory Screen. Right click and select Write off Item. Alternatively you can select Write off Item from the right hand menu.

 

From the Shrink Item window, select either External Theft or Internal Theft from the Reason drop down. A field for the Incident Number will appear below the reason.  This field is where you will enter your Incident Number that you received from the police and then click Ok.

**NOTE** Writing off an item cannot be undone.  Once an item is written off it will no longer be any part of your store's inventory.  If you mark an item written off and then find this was done prematurely or in error, you will need to purchase the item back into your inventory

Once you click OK, the item will show status of Shrink. Click Save on the bottom left to keep the changes.

 

The ATF A&D Book - Standard Print Version will show with the record being crossed out.

 

The ATF A&D Book - Bravo Print Version will correctly show the Incident Number with a disposition of Stolen.

 

 

 

Returning to Vendor

If a firearm is being returned to the vendor, you can select this write off reason from the drop down list on the Shrink Item window. First select the item and right click and select Write off Item. Alternatively you can use the right hand menu and select Write off Item.

 

Choose the reason of Return to Vendor. This will only work if the Source is showing as PURCHASE. This action will not be seen on pawns/buys.

 

The vendor used in the purchase will automatically show up in the Vendor section. Click Ok.

 

In Bravo, the firearm will show a status of Shrink. Click Save to keep the changes made.

 

In the ATF A&D Book, the firearm will show a disposition of having been returned to the FFL vendor with the vendor's FFL # in the address field.

 

Duplicate

Items purchased from a vendor can also be written off as duplicates.

Select the duplicate item. Right click and choose Write off Item. Alternatively you can select Write off Item from the right hand menu.

 

From the Reason drop down menu, select DUPLICATE.

Note: DUPLICATE is only available as an option for items that were purchased from the vendor. Items that were brought in via Pawn or Buy will not be able to be written off as duplicates.
This option is not available for Serialized SKUs.

Once you select DUPLICATE, you will be asked to enter the duplicated ATF A&D Book line number. (The line number of the correct record.)

 

When you enter the line number and select OK, the item will be written off. The status of the item will now be Shrink. Select Save to complete the changes made.

 

The ATF A&D Book will show the disposition as DUPLICATE and will reference the duplicated line number (correct line number for the item).

 

The Bravo Print Version of the ATF A&D Book also reflects the duplicated record.

 

Store Error/Other

When an item is written off as STORE ERROR/OTHER, the ATF A&D Book will reflect Store Error in the disposition.

Select the firearm. Right click and select Write off Item. Alternatively you can click on Write off Item from the right hand menu.

 

Select STORE ERROR/OTHER when writing off the item.

 

Click Ok.

 

The item status will now be Shrink. Click Save on the bottom left to save the changes.

 

The ATF A&D Book will now reflect STORE ERROR/OTHER as the disposition in the Standard Print Version.

 

The Bravo Print Version of the ATF A&D Book will also reflect STORE ERROR/OTHER as the disposition.

 

 

Other Write-Off Reasons

Using other write off reasons when dealing with firearms, may not update the ATF A&D Log correctly.  These reasons need to be used with caution.

**NOTE** Writing off an item cannot be undone.  Once an item is written off it will no longer be any part of your store's inventory.  If you mark an item written off and then find this was done prematurely or in error, you will need to purchase the item back into your inventory

Other write off reasons include:

  • Unknown
  • Imitation
  • Unsellable Merch
  • Item Sold Minus Tag
  • Donated

Each of these write off reasons will update the ATF A&D Book with a disposition of Lost.  Once an item is marked as lost, you will not be able to correct it.  You will need to then add a comment to the book explaining why the item was written off.
