Inter-Store Cash Transfer Batch Method

Learn how to securely transfer cash between stores using Bravo's Inter-Store Cash Transfer Batch Method, ensuring accountability and accurate reporting.

This was written for multi-store operators who move cash from store to store as the need arises. The batch method was developed to add a level of responsibility and security.

To enable this feature, contact Bravo support at 888-407-6287, option 3.

 

Concerns & Considerations

Only enable cash transfer for employees who will be responsible for this task. 

 

NOTE: A batch can only be voided if it has not been received. Once the batch has been received, there will be no option to void. If there are any corrections needed after a batch has been received, another transfer batch will need to be completed to account for any adjustments.

 

How to Start or Setup

After the feature has been enabled, you will need to setup a few things.

General Ledger Account:

There is a specific General Ledger account for inter-store cash transfer named “INTER-STORE CASH TRANSFERS”.

You will need to make sure that this account has an account number and a corresponding account in your company's accounting software.  For more information about the General Ledger Post to accounting function, please see the article here.

Securities:

Make sure that all employees who need to be able to send or receive transfers have the appropriate securities enabled.

You can find this security in System Configuration under the Employee's security level:

Best Use and Steps

Your store must be opened to utilize this feature. 

Select Transfer Tender from the Bravo Dashboard.

Send Cash

To send cash, select Send Inter-Store Cash from the Tender Transfer screen.

Fill in the following information:

  1. Source - Source can be the store safe or any open till.
  2. Destination - The store withing your company that will be receiving the transferred funds.
  3. Amount - This is the amount you are transferring.
  4. Comments - Any notes that need to be included with the transfer record.

Once everything is filled in, click Save.

The Cash Before shows the balance for the Source.  The Cash After field shows the balance of the Source after the cash is transferred.

A receipt will print once Save is selected. The Transfer Number on receipt is the number that should be used by the receiving store as the Transfer Batch Number.

 

 

Receive Cash

From the Tender Transfer screen, select Receive Inter-Store Cash.

Note: The Receive Inter-Store Cash button has a task bubble on the top right. This is a quick way to be aware of cash en route to your store.

Cash cannot be received in the store if a transfer number was not generated.  In other words, the process of sending the batch cash transfer must first be completed by the sending store in the system before the receiving store can add the funds to the till.  If there is no Transfer Number for an amount of cash received, contact the sending store to have them complete the process in their system. Both stores must be set up with the Batch Transfer method.

The Transfer Number on the receipt can be scanned or typed in or the batch can be found in the drop down for Outstanding Cash Transfers.

After the Transfer Number has been entered, fill in the following information:

  • Destination  - This is the destination within the store. The destination can be any open till or the store safe.
  • Comments - These will be additional comments on the Transfer.
  • Amount - Verify that this amount is correct. (The Amount will be automatically filled in based on the Batch.)

*NOTE* If you are tracking your Safe Denominations, when you transfer cash, you must receive the funds into a till in order for the tracking to be accurate.

Once these fields are completed, click Save. A receipt will print once save is selected.
