Loans / Buys Management
Manage loans and buys in Bravo with search filters, transaction tools, and workflow options for efficient tracking.
This article will go over the functions in the Loans/Buys screen in Bravo.

Getting Started
To access the Loans/Buys screen, select Loans/Buys from the Bravo Dashboard.
Clicking on Loans/Buys will take you to the main screen where you can see all the tasks needing to be done.

This will take you into the Loans/Buys screen where you can view and manage your loan base:

There are several key areas of this screen
- Ticket Information: This is where the information on the ticket item is displayed, including phone number, description, location, etc.
- Loan Ticket Search: Use this field to search for a specific loan or buy ticket number.
- List: This where the relevant tickets will display after a search or when one of the functions on the right is selected.
- Menu: Choose what areas of your loan base to manage from these buttons.
Back on the Dashboard, you can click on the drop-down and if you click on one of the tasks you will be taken immediately to that task.

Key Functions (Menu)
The first section of the menu features the key functions for the Loans/Buys screen:

From this menu, you can select what area of your loan base you want to view or manage. Click on each link to learn more about each section.

On the Loans/Buys screen, whenever a filter (such as Loans to Expire or All Active) is selected from the right panel, fresults will load in batches - the search will return the first 250 items matching your search criteria, ordered by Ticket Number.
- If more than 250 items match your search, there will be a panel at the bottom of the grid that says Showing the first 250.
- Select the Show more button to load the next 250 results. Selecting Show more will clear any filters and sorting that have been applied to the grid.
- When all results have been returned, the panel at the bottom of the grid will no longer appear.
- When you "Print List", only the items currently displayed in the grid will be printed.
Once a loan is selected, you will also have a menu of individual loan functions. These functions can be accessed by Right clicking on the loan in question, or by looking to the list on the right hand side of the screen. (You can scroll down the list to find the option you need.)

The options are almost identical. The menu that you access when right clicking with your mouse are options that apply ONLY to the loan that you currently have highlighted. The Menu from the Right Side of the screen can apply to one or more highlighted or selected loans.

Loans to Expire
Clicking on the Loans To Expire button will bring you a list of all active loans that have passed their default dates. In other words, these are loans that have passed their last day of grace, passed any required notice hold period, and are ready to expire.

To expire a single loan, right click on the selected loan or select Expire Loan from the Menu on the right.
To expire the entire list, select Expire All from the menu on the right.

Once the loan is expired, the item will move into Inventory for pricing. To learn about managing your inventory, click here to read the article.
Send Loan Notice
If your regulations require that you send notices on your loans, Bravo will keep track of that for you. You can find a list of loans that need notices sent by clicking Send Loan Notice from the right side of the Loans/Buys screen:

This is a list of all of the loans that need to have notices sent on them.
To send a single loan notice, highlight the loan and then right click to access the menu and select Print Notice, or select Print Notice from the menu on the right.
To send notices for all of the loans in the list, click Print all Notices the right hand menu.
You can send a regular notice by clicking Print Notice. This will print a paper notice that can be mailed to the customer.

If you require a Proof of Mailing, Bravo will automatically print this form as well:

Bravo will change the Disposition of the loan from On Loan to Notice.

Click Save to save your changes.
If you are able to send electronic notices to a customer to fulfill the legal notice requirement, you can utilize the SMS, email, or MobilePawn features to send these notices. You can mark which types of notification legally qualify in the System Configuration screen.
By clicking Send Mobile Notice for a single loan, or Send Mobile Notices for all to send the notices for the entire list, Bravo will queue the notices to send based on the customer's profile in the following order of preference:
- MobilePawn
- SMS
If the customer has MobilePawn activated, for example, you will see this icon next to their loan. These customers will receive a MobilePawn push notification.
If the customer does not have MobilePawn activated, but does accept SMS text message, you will see this icon next to their loan. These customers will receive an SMS message.
If the customer doesn't have MobilePawn or SMS activated, but they do have email availability, you will see this icon in their customer profile (not on next to the loan). These customers will receive an email notification.
If these notifications are legally acceptable alternatives, Bravo will change the Disposition of the loan from On Loan to Notice.


If the electronic format is not a legally acceptable alternative, Bravo will not change the Disposition:

If you are required to send a print notice, you can still utilize the electronic notification by selecting Send Mobile Courtesy Reminder. Bravo will still queue the reminder to send, but it will not change the disposition of the loans. Paper notices will still need to be printed in order for the regulatory requirement to be met.
Make sure to click Save to accept your changes.
Once notices have been printed, Bravo will move these loans from Send Loan Notice to Loans on Notice.
Loans on Notice
This screen will show you a list of loans that are currently on Notice in Bravo. If your regulations require you to send notices in Bravo, your loans will appear in this list once a notice is sent.

You can use this list to monitor these loans after their notice is sent. As they approach their Pull Date, you can reach out to the customer and make sure that they have the opportunity to make a payment.
Once the required Loan Notice Hold Period has expired, these loans will move into the Loans to Expire list.
Loans to Retag
If you have a loan that has been renewed, it will need to be Retagged. Loans that need a new tag added will appear in this list:

To print a new tag, select Print Label from the right hand menu, or right click on the loan and select Print Label.
A new label will print for the loan:

All Active
This screen will show you a list of all of the Active loans and buys in your store, regardless of their current disposition.

You can perform any function that you need to from this list. Each item is listed separately, so for example, if a loan ticket has five items, it will have five lines.
Contacted But No Activity
This list will show all loans that have had customer contact, but have not had a payment made.

This allows you to see loans where customer contact has been made. The last contact will appear in the loan information section to the left.
Review Pending Changes
When you make any change on a loan, whether it is something simple, like marking the loan as Contacted, or completely expiring the ticket, you will need to review any changes you make. This process will happen automatically as you perform the various functions within the Loans/Buys screen. As you click Save, Bravo will ask you to verify your changes with the following screen:

Clicking Yes will save the changes in the system and bring you back to the Dashboard.
If you want to periodically review the changes that you have made to Loan and Buy Tickets, you can select Review Pending Changes from the menu on the right:

This will show you all loans that have changes pending. If you need to stop and reconsider any of these changes, you can click Cancel and it will cancel all changes. If you want to proceed, click Save, and all of the changes will be saved. You do have to save or cancel all changes on this window as a group. If you have one loan that you did not mean to expire and you want to cancel this change, you will have to cancel everything.
Locate Loan/Buy
If you did not give a loan or buy a location in the estimator when starting a ticket, you will see them on the list here.

Highlight each loan and select the correct location from the information section on the left.
Loan History & Loan Journal
These are two reports that will provide a snapshot of the loan to date. You can access these reports by right clicking on the highlighted loan or by accessing Loan History or Loan Journal from the menu on the left.
The Loan History shows each loan activity from the time the loan started to the present:

This report will show all loan activity.
The Loan Journal, on the other hand, will show all of the financial activity on a loan:

You can see from the above example, the Loan History and the Loan Journal for the same loan vary greatly in the information provided. Since the Loan History is capturing all loan activity, it has more entries than the Loan Journal. The Loan Journal only shows one entry since the only financial activity on this loan was the day it was started. No payments have been received.

Mark Customer Contacted
If you have contacted a customer on a loan and need to record the contact for the loan's history, click on Mark Customer Contacted.
You will see a window that looks like this:

- Mark the Date and Time of the contact.
- Select the method of customer contact (Contact Type)
- Enter any relevant Notes.
Click OK to save the record.
Place on Hold
If you need to put a loan on hold, you can select Place on Hold from the menu.
You will see a box that looks like this:

- Select the type of hold (ie Courtesy Hold or Police Hold).
- The Hold Days defaults from your store's configuration settings. You can change the number of days to hold an item.
- Enter any relevant Comments. In the event of a police hold, the comments section will be preceded by the police information (Office Name, Badge and Case Number). The police info will automatically be entered into the comments.
- Click OK.
At the end of the hold period, the loan will revert to the previous status.

Reprint
If you need to Reprint paperwork on a loan, select the Reprint option from the menu:

The icon represents the ability to view the ticket before printing it.
You can Reprint the Ticket or the Tags if necessary.
Lost or Damaged
If an item is damaged or lost while on loan, you will want to mark it as Lost or Damaged. The Lost or Damaged option on the loan screen will allow you to manage this function.
Select the loan from your list (or enter the loan ticket number into the search) and select Lost or Damaged:

Enter the relevant information and click Save.

Calculate Amount Due
This feature allows you to easily see what is currently due on a loan. Highlight your loan and then select Calculate Amount Due from the menu.

A new column labeled Amount will appear. In this column, any loans that were highlighted will have an amount listed here.

View Item & Item Detail
If you need more information on the item on loan, you can select View Item or Item Detail from the menu.
Highlight the line that you would like the details on. Click View Item from the right-click menu:

This takes you to the Item View screen in Inventory. You can see all of the item information here. Clicking Done will take you back to the Loans/Buys screen.

Item Detail, on the other hand shows you a brief snapshot of the item information. It is not as detailed as the View Item screen, but it will show you additional item information if you should need it.

Price Guide Report
If you need information about the value of an item from the loan screen, you can view the Price Guide Report. Select Price Guide Report from the menu on the highlighted loan. This will produce a Business Intelligence Report:

Notes
The Notes screen allows you to access the Notes and Passwords entered in the Estimator when the loan was taken. It also allows you to enter any other relevant notes that you need to on the loan. If there are notes on a loan, the Notes button on the bottom left of the screen will be highlighted.

Ad Hoc Reporting
Bravo includes a robust Ad Hoc Reporting feature for your convenience. If you need to run a report on Loans/Buys that is not pre-built, you can use this feature.
Select Ad Hoc Reporting from the menu on the right.

In Loans/Buys, the Ad Hoc Report Generator defaults to Active Loans and Buys. You can delete this by clicking the red X.
- Select your search Criteria from the list. You can add as many search criteria as you need.
- If you are going to use the same report again, consider saving it and giving it an easily recognizable name.
- Click OK.
- When you perform an Ad Hoc Reporting search on the Loans/Buys screen, search results will load in batches - the search will return the first 250 items matching your search criteria, ordered by Ticket Number.
- If more than 250 items match your search, there will be a panel at the bottom of the grid that says Showing the first 250.
- Select the Show more button to load the next 250 results. Selecting Show more will clear any filters and sorting that have been applied to the grid.
- When all results have been returned, the panel at the bottom of the grid will no longer appear.
- When you "Print List", only the items currently displayed in the grid will be printed.
Coming in the July 2025 Release: Enhanced Batch Loading and Sorting Options
The Ad Hoc Reporting tool is getting an upgrade to give you more control over how data is loaded and sorted.

A new "Initial Rows" drop-down will let you choose how many rows appear when the report first loads (options: 1000, 500, 250 (default), 200, 150, 100, 50).

After the initial batch, each Show More click will continue to load 250 rows per batch.
-
You’ll also have new Sort By and Sort Order drop-downs to sort results before running the report.

Sortable columns: Age, Create Date, Disposition Date, Due Date, Last Notice Sent Date, Loan Amount, Notice Date, Pull Date, Status Date, Ticket Amount, Ticket Number

Sort directions: Ascending or Descending

Secondary sorting will default to Inventory Number, then Item ID, when values are identical.

Default sorting for filters (like Loans to Expire, Send Loan Notice, etc.) will also be updated to better match user expectations.

The “Amount” column label will be updated to “Loan Amount” in both the column chooser and report header.

Print List
Print List allows you to print any of the reports or lists in the Loans/Buys section of Bravo. When you have a list of loans on your screen that you want to save or print, select Print List from the menu on the right.

- To Print click on a Printer icon. Quick Print will print the report to your default Reports printer.
- Use the Arrows to navigate page to page when viewing the report.
- Zoom in or out of the report.
- Use the Export feature to save the report to a number of different formats. (ie PDF or CSV)
- Click here to read the report in a Separate Window and keep Bravo open in the background.
Police Export
You can access your daily Police Exports from the Loans/Buys window as well as from the Dashboard. Click on the Police Export button from the menu to start the exporting process.

The export format is set up in your store's configuration settings.
