Scrap Refining Process

This article explains how to manage the full scrap refining process for jewelry in Bravo—from identifying items to receiving payment from your refiner.

Overview

The process supports secure item tracking, reduces pricing errors, and simplifies reconciliation when materials or funds are returned.

Throughout this article, "scrap" and "recycle" are used interchangeably unless otherwise noted in the menu.

Add Items to the Scrap List (Optional)

  1. Navigate to the Dashboard and select Priced Items.
  2. Highlight any items you intend to recycle.
  3. Navigate to the lower left corner and click Add to Scrap List. The item status changes to RECYCLE LIST.
  4. Click Save.

Tip: This step flags items as non-sellable while you prepare for refining, helping prevent accidental pricing or sale. It's optional—you can skip straight to creating a bucket.

Create or Add to a Scrap Bucket

  1. Go to Inventory > Scrap Refining Process.
  2. Either select an existing bucket or click Create New Bucket.
  3. Enter a name in Bucket Name.
  4. Add inventory by scanning barcodes or manually entering item numbers into Inventory Search.

To find items previously marked for recycling, use the Scrap List on the right-hand menu.

As items are added, Bravo calculates:

  • Total metal weight
  • Stone count
  • Total carats
  • Estimated metal assay (based on item data)

Ship Items to the Vendor

  1. Change the bucket Status to Shipping – Ship to Vendor.
  2. Weigh the physical items and enter the value in Total Weight of Scrap Shipped.
  3. Click Select Vendor and search for an existing record, or choose Add New Vendor.
  4. Click Print Scrap Report if needed.
  5. Click Save.
  6. Physically ship the materials to your refining vendor.

Record Vendor Assay Results

  1. When the vendor sends results, reopen the bucket.
  2. Change Status to Received – Vendor Weight Confirmation.
  3. Enter:
    • Confirmed Weight Received
    • Assay from Vendor (use decimal format, e.g., 0.599 for 59.9% purity)
  4. Click Save.

Complete the Transaction

  1. Once you've received payment and/or returned material, reopen the bucket.
  2. Change Status to Close – Complete Transaction.
  3. Fill in:
    • Amount Paid and Tender Type
    • If materials were returned: enter Invoice Number, Stones Returned, Carats Returned, Metal Weight, and Metal Type Returned
  4. Click Save.

Make sure to include the Amount Paid in your till's closing total.

Note: Only one payment and tender type can be posted to close out scrap.

 

Warning: Only enter an Invoice Number if you received metal or stones back from the refiner.

Add Returned Items Back to Inventory

To return diamonds or precious metals to inventory:

  1. Enter the Invoice Number provided by the refiner.

  2. Enter the Total Carats Returned and/or Metal Weight Returned and Metal Type Returned.

  3. Click Save.

The Cost Reallocation window will open before the process finalizes:

  • If you are splitting cost between two categories (e.g., sold and returned), updating one will automatically adjust the other.

  • For three-way splits (e.g., cost of sale, metal return, stone return), enter each value manually. The total must equal the original cost of goods.

  • Click OK to continue.

  1. Click OK to finalize the bucket. Once approved, the transaction is closed.

  2. Returned items are added to inventory with a status that marks them as priced items.

  3. Locate these items in the Priced Items task queue.

  4. From there, apply updated pricing or assign a location as needed.
