Serialized Stock

Learn how to create and manage Serialized Stock SKUs in Bravo for accurate item tracking and compliance.

Serialized Stock lets you create inventory items with unique serial and inventory numbers linked to a company-wide SKU. You can update details like Description, MSRP, and Price at the SKU level, and these changes will instantly apply to all serialized items.

Serialized Stock are part of the Stock feature. Contact Bravo if you do not see Stocks and would like information about enabling this feature.

Creating a Serialized Stock

Currently, serialized Stocks can only be created in categories that are logged in the store's ATF A&D Book. Here is a list of those categories:

  • Pistols
  • Revolvers
  • Shotguns
  • Pistol Grip Shotguns
  • Rifles
  • NFA Items
  • Black Powder Guns
  • Frames
  • Receivers

- Additionally, serialized Stocks can currently only be created if they are linked to a vendor catalog item.

- To create a serialized Stock, begin by searching for a UPC, manufacturer, model, or description on one  of the following screens:

  • Stock and Variants in System Configuration on the right-side menu.
  • Stock Management / Stocks and Variants
  • Stock Management / Purchase Orders Tab -> Add Purchase Order
  • Stock Management / Receivings -> Add Receiving
  • Stock Management / Stock Adjustment ->Add Stock Adjustment

- Bravo will show any existing Stock that matches your search. If your item doesn't appear, click the Catalog Search button next to the search box.

You must have security permission for the Add/Edit SKU at store level security.

  • In some cases, no Stock in your company will match the search, so Bravo will automatically perform a Catalog Search. 
  • Any catalog item shown on the Catalog Item Search screen will become a serialized Stock if it is in one of the categories noted above.
  • Select the catalog item from the Catalog Item Search screen and click Select or Next to continue to Stock creation.
  • If only one catalog item is returned by your search, Bravo will automatically select that catalog item.
  • If there is already a Stock in your store with the same UPC as the selected catalog item, Bravo will ask if you want to create a variant or load the existing Stock.
  • Otherwise, Bravo will proceed to Stock creation.
  • Proceed with Stock creation according to the steps in the article for Create Stock Screen for Stock.

Additionally, there is a Default ATF Record section below the catalog attributes. This section will not be shown if the Stock is based on a Bravo Estimator model. It is only shown for Stock based on vendor catalog items.

  • This information comes from the catalog, but it is possible that the actual inventory you receive will not match the catalog.
  • You will have the ability to enter correct ATF Record information when you Add Serialized Stock Quantity.
  • Click Next on the Create Stock screen to return to the previous screen, where you can review pending changes and save the Stock.
  • If you are on an applicable purchasing screen, you can also Add Serialized Stock Quantity before saving.

 

Adding Quantity to Serialized Stock

Serialized Stock must have accurate acquisition details recorded in the ATF A&D Book. Therefore, you cannot add quantity for Serialized Stock in the Stock Adjustment tab. Instead do the following:

  1. Add quantity in the Stock Management / Receivings Tab / Add Receiving screen
  2. Add quantity in the Stock Management / Purchase Order Tab / Add Purchase Order, where you must select a vendor.

Adding via the Receiving screen

Serialized Stock are added to the Receiving screen by searching for an existing serialized Stock in the company, or by creating a new serialized Stock as described above.

  • To add serialized Stock quantity for a Stock in the Receiving Screen, select the SN button for the Stock in the Received column. The dialog will appear to Add Serialized Stock Quantity.
  • Enter the unit cost in the Cost column, or the total cost in the Total Check-In column.
  • Once you finish adding items to the receiving screen, attach your vendor and click on save to add these items to inventory and log them in the A&D book.

 

Adding via the Purchase Order screen

Serialized Stock are added to Purchase Orders by searching for an existing serialized Stock in the company, or by creating a new serialized Stock as described above.

  • Ordered Qty can be set for the purchase order by simply entering the number of items being ordered.
  • You will not need to enter specific information about the serialized Stock items until you change the Status to CHECK-IN.
  • To add serialized Stock quantity for a Stock in the purchase order, select the SN button for the SKU in the Received column.
  • The dialog will appear to Add Serialized Stock Quantity.
  • Enter the required information on this dialog and click Ok to update the Received quantity.
  • Enter the unit cost in the Cost column, or the total cost in the Total Check-In column.
  • To create inventory items for the ATF A&D Book, all quantities in a purchase order must be marked as received. You can't save a purchase order in CHECK-IN Status if there are unsaved serialized Stock items in the Received column.
  • Change the purchase order Status to RECEIVED before saving.
  • Once all ordered items are received, set the purchase order status to COMPLETED.

Add Serialized SKU Quantity

This dialog is used for entering the unique details for each item being added to a serialized Stock.

Each row in this dialog represents an item to add to Stock. Enter the Serial Number, Importer, and Storage Location.

  • To add a new row, click the '+' button or press Enter while in a field of the last row. The Location will auto-fill from the last row if selected.
  • To remove a row, click the red 'X' button next to it.
  • At the bottom of the Add Serialized SKU Quantity dialog, verify the information in the Edit ATF Record section for the items being received.
  • If the Stock is in the Black Powder Guns category, the Add to A&D Book checkbox will appear in the Edit ATF Record section. For details, see Optional ATF A&D Book Record for Black Powder Guns.
  • If the Stock is in the NFA Items category, a 3310 Applicable line will appear above the Edit ATF Record section. An answer must be selected to determine if an ATF 3310.4 or 3310.12 form is required. For more info, see E3310 - Electronic Reporting of ATF Form 3310.4 and 3310.12.

If no items have been purchased into this Stock, the fields will show information from the catalog item, as seen in the Default ATF Record section on the Create Stock and Edit Stock screens. If items have been purchased, these fields will reflect the information from the most recent ATF Record.

  • To correct any field in the ATF Record, make edits before saving. These changes will only apply to the current purchase.
  • For previously purchased items, search on the Inventory screen and select Edit ATF records.
  • Select Ok to close the dialog. Validation messages will appear for any required fields left blank. 
  • Once the Add Serialized SKU Quantity dialog is closed, the item quantity will be sent to the previous screen.

Searching and Editing items in a serialized SKU

You can find serialized Stock items on the Inventory screen by searching the Company SKU Number, UPC, or Tags. Each serialized item has a unique inventory Number, and the barcode is specific to that item.

  • Select an item in the grid and click Edit on the left panel to modify values like Location, Cost, and Max Discount.
  • Certain elements of serialized Stock cannot be edited individually, such as Tag Description or Price.
  • Changes must be made on the Edit Stock screen, which updates prices for all items in the Stock, however, you can edit the Sale Price during a transaction. For more details, see Selling items in a Serialized Stock.
  • Serialized Stock can be sold on UsedGuns.com, but "Web Listing Allowed" must be enabled on the Create Stock or Edit Stock screen. Refer to this article on Quantity Web Sales.
  • Select Edit Item to access the Edit Item screen for the chosen serialized SKU item.
  • Note - The Edit Item button appears only if you have permission for the Edit SKU Item security bit.
  • This screen shows read-only SKU information, including the Company SKU Number, Tags, and related catalog item attributes. It also displays editable Serial Number and ATF Record information for the SKU.

 

Selling items in a serialized Stock

When selling serialized Stock items, they can be brought into the transaction in the following ways:

  • Enter the unique Inventory number or Barcode for the item with a specific serial number (Example, TST015083 or 2000015083).
  • The item will automatically be added to the transaction as a sale item.
  • Enter the Company SKU, UPC, or a Tag for the Stock. If multiple items match, a Duplicate Picker will let you select the correct item based on its inventory and serial number.
  • Continue with the Sale or select To Layaway to change the Sale to a Layaway.
