Post to Accounting

This article explains how to use Bravo’s Post to Accounting feature to manage daily financials, map GL accounts, and export data for accounting systems.

The Post to Accounting feature in Bravo is your daily ledger accounts.  In addition to tracking your daily cash flow, the Detail by Transaction and Consolidated General Ledger features are powerful troubleshooting tools.

Set up

In order to use this feature, it must first be set up.  You will need to enter your own account numbers or names in the general ledger.  Once this task is complete, you can post and view these files.

To set up the general ledger, first select System Configuration from the Dashboard:

 

Once you are in the System Configuration Window, go to the company level (from the top left):

 

Once there, select the second tab *General Ledger* and click edit:

 

This is a list of all of the ledger accounts in Bravo.  

There are four columns:

  • Name
    • Bravo's account name
  • Disabled
    • Check box appears IF an account CAN BE disabled.  If there is NO CHECKBOX, the account cannot be disabled.  *Note* Some accounts are disabled by default.
  • Account number
    • This is where you are going to enter your account name/number.  If you are planning to use this function to export to Quickbooks, it is important to note that this field refers to the Account Name field in Quickbooks.  You will need to enter this field exactly as your Account Name appears in your Quickbooks chart of accounts.  
    • By default this field is filled with the Name column so that Post to Accounting can be used right away.
  • Sample
    • This is what your account number will look like on the ledger.

You do have the ability to designate individual stores for the GL export.  First, assign a GL Store Number to each store. Go to "System Configuration", select the store and click "Edit".  On the Store Information page, enter the GL Store Number.

 

You do not have to use a number.  You can give the store a name or a code that is letters and numbers.

Once you have assigned this number, go to the "General Ledger" tab on the Company Level.

 

To designate the store enter *STORE* with your account number.  This can go before or after the account number.  You can separate by a space, a hyphen or any other symbol.  Whatever you type is how Bravo will enter the info.  

For example, Account # 12345 (CASH ON HAND) for 3 stores - Store001, Store002, Store003

Enter in Bravo

  • 12345-*STORE*

The account number will appear as

  • 12345-Store001
  • 12345-Store002
  • 12345-Store003

You can also designate by Region.  Enter *REGION* along with the account number.

Entering Account Numbers

As you are entering account numbers in the General Ledger tab, there are several accounts that you may want to take note of.

For example, the following are "Cash Disbursement" accounts:

 

These accounts can be disabled AND customized.  If the descriptions in BRAVO do not match your Cash Disbursement needs, you can change the names.  If you don't use all of these accounts (or any of these accounts), you can disable them.

The next group is "Miscellaneous Accounts".  These accounts are disabled by default.  If you need to make use of one of these accounts (for a Service or Fee), then you will enable the account and rename the account for that fee.

 

Every line that is NOT disabled has to have an account number. You can enter NA if you do not need an account that cannot be disabled.

POSTING

Once you have entered all of your account info, you are ready to use the POST TO ACCOUNTING feature.

Go to the Bravo Dashboard:

 

Click on the "Post to Accounting" task button from the bottom Task Menu.  This will take you to the Post to Accounting Screen:

 

There are several columns:

  • Posted
    • Shows date posted.  If a line has not been posted, will show a button that says "Post"
  • Date
    • Shows business date of transactions.
  • Debits
    • Total of all Debits. This will equal exactly to the Credits.
  • Credits
    • Total of all Credits. This will equal exactly to the Debits.
  • Export
    • Once date has been posted, an Export button will appear in the final column. This allows the data to be re-exported.

From the top right of the screen, is the export format.

There are also 4 buttons along the right hand side:

  • More Records
    • Bravo will pull 30 records at a time.  If you need more dates, click "More Records" and the previous 30 dates will appear.,
  • Detail by Store
    • This breaks out the total Debits and Credits by Store.

 

  • Detail by Transaction
    • This breaks out the total Debits and Credits by Transaction.  This can be run for a range of dates.  Keep in mind that every transaction will be on the report and that every transaction has at least 2 lines.  If you run this for a large quantity of dates, you can lock up the system. If you need more than a handful of days, you may want to run this in smaller groups.

 

  • Consolidated General Ledger
    • This will give every account total by a range of dates.

 

The most common use of the Post to Accounting function is exporting to Quickbooks.  If you are using Quickbooks for accounting, you can upload Bravo's GL file directly into Quickbooks.

Make sure that your export type is set to "Quickbooks IIF".  Click on "Post" to post a new day.  Click on "Export" to export a previously posted date.

 

Using the Quickbooks IIF export format will produce a Quickbooks IIF file type.  You won't be able to see this file, but Bravo will produce the file and save it to a folder for you.

 

Bravo automatically assigns the name "BRAVOMMDDYYYY" to the file. The date is the date of the transactions.  Make sure that you have an appropriate folder to save these files into.

Once you save the file, go to Quickbooks and import that file into the system:

 

You also have the option of viewing this file as a spreadsheet.  Simply select "Spreadsheet" from the export format.  Bravo will then produce a file that looks like this:
